standard Record of Employment Format Change

Service Canada has decided to stop accepting certain formats of ROE submission as of March 31, 2016. This will change the way that you use the ComVida EMS software to export your ROEs. Read on for more information:

ComVida has received notice from Service Canada concerning upcoming changes to the ROE Web format.

In an effort to standardize the ROE Web file versions, the following ROE Web formats will be discontinued on March 31st, 2016:

  • 27 Week Flat file
  • 53 Week Flat file
  • 53 Week Payroll Extract File XML version 1.0
  • 27 Week Online Form

Effective April 1st, 2016, Service Canada will only be accepting the following Record of Employment (ROE) Web formats:

  • 53-Week Online Form
  • 53-Week Payroll Extract File XML Version 2.0
  • 53 Week Assistant Online form

ComVida has modified the export format of the ROE file that is produced from ComVida EMS to upload to the WEB ROE in order to ensure continued compliance with Service Canada.
This modification was included with the latest EMS update to version 4.2.1.7 and will change the way that you use the system to generate ROEs. Additional functionality also included in the update is the ability to select:

  • Reason for Termination
  • Pay Period Type
  • Last Day for Which Paid

This change also means that ROEs will no longer be exported from ComVida EMS with the .blk format for submission to Service Canada, and will now use the newer .xml format instead.

In order to maintain compliance with the WEB ROE submission changes, you must ensure that you are using ComVida EMS version 4.2.1.7 to take advantage of the new ROE export format. Please contact the HELPDESK if you need to schedule an update.
